By using our website and attending events organised by Avec, at Avec or any other location you accept these Terms of Service.

We use Mindbody to manage our courses and clients.

 

Service Options

Pricing

In general we have fixed hourly base rates for our classes. The price of our seasons will fluctuate based on the duration of each class during that season and the seasons overall duration in weeks. As our spring season tends to be 4 to 6 weeks longer the prices will be higher though it won’t be more expensive as the autumn season as the hourly rates will be the same or lower.

Dance Addict

A payment that enables you to attend classes and other activities at the best possible rate. Payments are made 1-time per season season or as payment plan contract with 5 instalments for the autumn season and 7 instalments for the spring season.  The plan includes all classes for 3 courses, additional courses can be purchased at a discounted rate. Dance Addicts get a discount on additional services such as Private lessons, Intensives and bootcamps.

Avec Club Membership

A monthly contract that gives members benefits such as discounts on private lessons, intensive training sessions, bootcamps, and other things. 

Course Pass

Allows access to 1 course during the season. Best option for those that want to attend 1 or 2 courses, when wanting to attend 3 courses the Dance Addict Pricing option provides the best rates.

Drop-in Pass

We only accept drop-ins where a class permits to have more leaders or followers or where the max capacity has not been reached. At no time can you drop-in to a class that is above your level. Drop-ins are always pre-authorised by the teacher so one always need to contact the teacher first.

Registrations and Purchases

Your registrations or purchases create a binding agreement between you and Avec. Each contract, membership, season pass, course pass, event tickets, course registration or event registration is personal and can only be used by the person whose name is on the pass, membership or contract. Check your selection carefully before you complete a purchase or registration. All sales are final. Once you complete your purchase or registration the full amount is due and they can not be changed unless it is according to these terms and conditions or with prior agreement of Avec Management. Resale of passes or tickets is prohibited without prior agreement of Avec Managements or as outlined in these terms and conditions.

Class Follower / Leader Ratio

For partner classes Avec will aim to have the best possible Follower / Leader ratio for partner classes at all times to improve the quality of services provided. Attendees understand however that in order to be able to continue to operate as a business there might be instances where the Follower / Leader ratio is out of balance in order not to run losses. We also believe it is actually always better to have a little bit more followers or leaders in a class as this will allow for a dancer to develop faster by using the time in between partner rotations to focus on the material, observe and practice on their own.

Waitlist

As we have a Follower / Leader Ratio once one of the roles in a course is full additional registrations will go onto the waitlist. If the class max capacity has not been reached the Waitlist registrations will be accepted in order or registration, with the exception to couple registrations which will have priority to balance out the overall leader/follower ratio.

At all times when we offer someone on the waitlist a spot to join a course, from the date we inform them they will have 48 hours to pay and register for the course. After 48h the spot will go to the next person in the waitlist unless you have informed us that you want to join and will pay before the class starts.

The following waitlist pricing terms apply to waitlist registrations and individuals that will sign up paying for individual courses. This does not apply to those on the waitlist that have a Season Pass or Dance Addict Pass.

Pricing – Waitlist person gets accepted by us

When we see that there’s a good balance, max capacity hasn’t been reached and we decide to accept someone from the waitlist they will pay the rate that is valid at the time. So anyone on the waitlist that registered before an early bird deadline but was accept after the deadline will pay the full price, if accepted before the deadline they will pay the Early Bird price.

Pricing – Waitlist person finds a partner

Anyone that was on the Waitlist before the Early Bird deadline finishes and that finds a partner to join the course before or after the deadline finished can join the course at the Early Bird rate.
Their partner will pay the rate that applies at the time of registration, e.g. before the deadline the partner pays the Early Bird rate, after the Deadline the partner pays the full price.

Payment & Card Processing

In addition to the price of the activities by Avec set by Avec there are payment, credit/debit card, SEPA or other processing fees directly or indirectly charged by Third Party Service providers. The exact amount of these fees will vary and depend on the purchase price, payment method selected, the third party service provider and the payment processing service provider. In general the fees range between 2% & 10% of the purchase price.

Sometimes these fees will be included in the purchase price and at other times they will be added to the sales price during the check-out process. At all times if it is not included in the purchase price you will be informed of this before finalising your purchase. These fees, whether included or excluded in the purchase price are non-refundable as they are paid to the third party service providers for services they have provided.

Class Attendance

Avec mainly offers progressive courses.

You or your child’s attendance in class is very important to their peers and our teaching staff. As a member of a course group you commit to attend classes on time each week and attend all lessons planned. Not attending affects personal development as a dancer, the progress of the group as a whole, and the follower to leader ratio in partner classes.

We understand that there might be situations that you can not attend a class, whether illness, work travels, study trips, if you know ahead of time that you or your child will be absent, please login to your account and cancel the class(es) that can not be attended. This way we can allow some drop-in students to cover your spot.

You are the best judge of your child’s health and we trust you will not come to the studio or bring a sick child to the studio. However, if in the opinion of the teaching staff you or your child is sick the staff can request you to leave the class to ensure others won’t get sick. The following criteria will be considered in determining if you must go home: Fever, Communicable disease, Inflammation of the eyes, Vomiting, Diarrhea.

Due to our progressive course structure unfortunately we are unable to accommodate recovery sessions for students who miss classes. If you would like you can book a private lesson with your teacher to cover the material from a missed class. However as additional service Avec offers those that missed classes and didn’t arrange a substitute leader or follower a max of 2 recovery passes per course which can be used during our dance week(s) which take place directly after our course season.

Class Level

Avec offers courses in a progressive way with different levels so people can progress to higher levels accordingly. The amount of time a dancer will spend on a certain level depends on how fast they develop. Dancers can always  enrol for courses at their level and lower levels. If you are unsure, ask a teacher, and if a teacher feels you are ready to progress to the next level they will inform you. We actually highly recommend dancers to join lower levels as it will develop dancers faster.  In contrary dancers attending a level that is too high will have a negative impact on their development and the course group as a whole. Avec Teachers and Management reserve the right to move an attendee that enrolled to a level that is too high to a lower level.

Activity/Event Changes

At any time Avec has the right to make changes to the schedules, teachers, locations, setup, line-up, promotions, and anything else related to their activities. You understand that Avec will make these changes as deemed necessary to ensure the business can run and that most of the time these changes are beyond the control of the organisers. These changes will not entitle a patron to a refund. For the majority of these changes the official Facebook Page or Event is the main way of communicating with attendees. The attendee is responsible for following and checking our Facebook Page and activity related Facebook events for any last minute changes.

In the event Avec needs to cancel a class a catch-up class will be scheduled at a time and date suitable for the teacher and for which the studio is available.

If an activity is completely cancelled by Avec without an alternative solution, your pass will be credited to your Mindbody account as pass or account credit, optionally you can opt to receive a refund of the amount paid for the event ticket/pass/spot originally purchased excluding any non-refundable payment and card processing fees that were part of the purchase.

Social Media

Please remember that your anonymity on Social Media is never guaranteed and to exercise particular caution when posts, images, or videos identify you or children in your care.

Remain mindful that your behaviour on Social Media remains in keeping with Avec’s code of conduct.

Any comments or posts perceived to be obscene, defamatory, threatening, harassing, discriminatory or hateful towards Avec staff, students or families may subject the owner to disciplinary or legal action.

Should you wish to engage on Social Media while identifying as a studio dancer, studio volunteer or employee, you may only do so with integrity, respect, and adhere to privacy and confidentiality policy. Any content revealing or referring to sensitive studio information is not allowed to be shared online.

Intellectual property laws, must be observed by all studio patrons when posting online. This includes but not limited to manuals, forms, handbooks, and syllabus, etc.

While affiliated, or after your affiliation, with our studio, we will not tolerate any posts that are racially, sexually, physically or religiously offensive.

All matters pertaining directly to the studio – whether it be fees, contracts, scheduling, placements or other matters — may not be communicated via Social Media. We have an open door policy and encourage all communications, complaints and feedback to be communicated directly with the Avec Management which you can reach through our contact form or at our facilities.

Anti-Discrimination and Anti-Bullying

Avec commits to anti dscrimiation and anti bullying. We provide a safe and supportive community to develop a lifelong love for dance and creative expression. In order to guarantee that all of our dancers are able to best pursue their passion, we implemented a anti discrimination and anti-bullying policy applicable to our students, dance families, staff, and employees.

We define discrimination and bullying as any behavior; physical, verbal, written (either electronically or in person), that detrimentally targets another person. This counts as discrimination or bullying when it physically or emotionally harms a person, targets a person for any actual or perceived characteristic, or creates a hostile environment at Avec or Avec events.

Only by reporting such situation can we stop them from happening in the future. If you are a victim, or you have observed discrimatory or bullying actions by someone else towards another person, you can report these cases using our contact form or by contacting management directly at our facilities. If possible supply us with enough information such as date, time, location, who was bullying, and details of the harassment.

Body Contact

Avec mainly offers partner dancing so there will always be body contact according to what is normal and acceptable for each dance or dance style.

It may be necessary for instructors to place hands on a student for proper placement and correction of body alignment, choreography and instructional purposes as well as body assessment.

Damages

In case you damage any Avec property please contact staff or management directly and inform them of the incident so it can be dealt with accordingly.

Lost & Found

Lost item means any unattended, misplaced or forgotten item which is lost at Avec Dance Club. Found item means any unattended, abandoned, misplaced, or forgotten item which is found at Avec Dance Club, pending the identification of the rightful owner.

If you find something that does not belong to you, when it is clothing please put it in the Lost & Found Bucket, if it is something valuable please bring it to Avec Staff.

Found items will be kept at Avec Dance Club for a maximum of 60 days.

Clothing, shoes, water bottles and similar items will be stored in the Lost & Found Bucket where you can see if your lost item has been found.

For valuable items, wallets, watches, jewelry, phones, etc., these items will be stored in a more secure location. Please contact staff with details on your lost item so they can see if it has been found.

Expectations

Avec promotes kindness, acceptance, and teamwork.  To create an excellent dance environment, attendees will adhere to the standards set forth in our policies.

We expect our attendees to behave properly during activities. They must be respectful of their teachers, peers and staff at all times. Should an attendee become disruptive, the Teacher, Staff or Management has the right to remove the attendee from the activity.  The attendee will be allowed back in at the Teacher’s Staffs’ or Management’s discretion. We do not tolerate any form of disrespect from any attendee at Avec. We reserve the right to have individuals removed for being disrespectful, rude, threatening or creating conflict. (please see our Anti-Discrimination and Anti-Bullying Policy)

Teachers & staff have been instructed by the administration to remove disruptive attendees students from activities.

We expect attendees to keep our spaces clean and leave garbage where it belongs, in the garbage bins.

At no time are outdoor shoes allowed on the dance floors.

Purchase Policy

All purchases are final, besides our general legal terms each service or offering will have specific terms related to the purchase.

Cancellation Policy

General Cancellation Policy

Avec has a no refund policy.

You’re not entitled to a refund if you can no longer attend an activity.

Medical cancellations are only possible under certain circumstances, please see the section Medical Cancellation for more details.

In the event you will not attend an activity and have not paid the full amount due yet, please see the section “No-show”.

For Intensive Training sessions and Special Days or Weekends, in the event you will not be able to attend you are allowed to re-sell or give away your spot according to the conditions in the section “Name Change / Pass Reselling”.

Avec reserves the right to cancel any enrollment or agreement you or your child have for the following reasons:

  • Non-payment or excessive late payment of fees
  • Not observing the rules of the studio or event;
  • You or your child has special needs which we cannot adequately meet with our current staffing patterns
  • Physical and/or verbal abuse of staff, other adults or children, by you or a child in your care.

Medical Cancellation

Memberships, Dance Addict Contract.

If for any valid medical reason supported by a valid Medical certificate any Membership or Dance Addict contract will be suspended for the duration as specified on the Medical Certificate. If the medical certificate states you can not dance anymore or can’t dance for 6 months or more the Membership or Dance Addict contract will be terminated.

Individual Courses & Season Passes

If you have a valid Medical certificate you can claim money back from your leisure time and liability insurance. If you have no leisure time and liability insurance we highly recommend contracting one.

Intensive Training Sessions, Special Days, Special Weekends, Parties

No medical cancellation is possible for these but you can change the name or resell your spot/pass, please check the Name Changes/Pass Reselling section for details. Additionally if you can’t sell you spot/pass you with a medical certificate you can claim it from your leisure time, liability or medical insurance.

No-show

If for any reason you do not show up at an activity, and have any fees due, you will receive an email with our account details for you to settle the outstanding amount. In the event of not showing up for the event 100% of the fee is due.

Name Changes / Pass Reselling

For Intensive Training Sessions, Special Days and Special Weekends. Name Changes and Reselling are possible and administrative fee of 10€ will applies to any changes. At all times the original buyer is liable for the payment of the original spot/pass plus any administrative fees for the name change. For events these changes can be made latest 1 week prior to the event.

At any time follower passes can only be sold to followers, leader passes only to leaders and international passes only to international attendees. 

So if you can’t attend you are allowed to give your spot/pass away for free or sell your spot/pass to someone else that has not registered yet. At no time can you sell your spot/pass for more than you have paid plus the administrative fee.

For a name change / pass resale, please use our contact form to inform us, letting us know what event it is for, the type of pass/ticket you have, who will be the new owner providing us their Full Name, Email and Phone Number, Gender. You are responsible to inform the person that is taking over your spot/pass of their follower/leader role and all terms related to activities by Avec.

Exception: In the event that you won a pass or were given a pass by someone for free, no reselling is possible and no name changes are possible. Only the original person can use the pass. In these cases if you will not attend please inform us.

Liability Waiver

Risks

By attending activities at, or organised by, Avec, or by enrolling your child, you understand that there are risks of physical injury associated with, arising out of and inherent to the activity of dance. In recognition of this acknowledged risk of injury, you knowingly and voluntarily waive all right and/ or causes of action of any kind, including any and all claims of negligence arising as a result of such activity from which liability could accrue to Avec. By attending activities at, or organised by, Avec you agree to release Avec and hold Avec harmless of all liability, and hereby acknowledge that you knowingly and voluntarily assume full responsibility for all risks of physical injury arising out of active participation in dance and related activities on behalf of the participant. You are aware that this is a release of liability and an acknowledgement of your voluntary and knowing assumption of the risk of injury. You enroll and join activities voluntarily and of your own free will in exchange for the privilege of participation and thereby accept this waiver.

Photography & Video

By attending events, classes or anything else organised by Avec at Avec Dance Club, or at any other location, you give Avec permission to photograph and record videos of you or your child and you allow Avec to use those pictures and videos for publicity purposes in for example, but not limited to, brochures, advertisements, event headers, websites, facebook and other social media sites. Names are not used in general on any promotional material though you or your child might be tagged on photos and videos on social media sites by friends or Avec. Each social media platform puts you in control of those tags and you can remove the tags if you wish to do so. Use of these pictures and videos for these or any other purposes by Avec do not entitle you to any compensation.

Amendments

Avec Dance Club can make amendments to services, schedules, fees, price lists, locations as deemed necessary and without prior consent of the customer. In the event the change would have a considerable negative impact on the customer Avec Dance Club will inform customers about the change and offer possible solutions.

Privacy Policy

This website is operated by Avec Dance Club, Sturenkatu 27, 00510 Helsinki. 

This Privacy Statement & Privacy Data Policy outlines how we, as controller, process your personal data in connection with this website.

  1. Daily Operations and Website

We use third party service providers for our daily operations and website. Our main system for managing the studio is Mindbody, any data you provide to enroll will be added to the Mindbody system. And we use Mailchimp for our mailing list so relevant details will be stored in the Mailchimp platform.

  1. Cookies 

This website uses “cookies”. A cookie is a small file that can be stored on your computer when you visit a website. Basically, cookies are used to provide users with additional functions on a website. For example, they may be used to help you navigate a web page, to allow you to continue to use a web page where you left it, or to save your preferences and settings when you revisit that website. Our website uses Google Analytics, a web analytics service provided by Google Inc., 1600 Amphitheatre Parkway Mountain View, CA 94043, USA (“Google”). Google Analytics uses “cookies” which are text files placed on your computer to help the website analyze how users use the site. We process your data on the basis of our prevailing legitimate interest to cost efficiently generate easy-to-use website statistics.

  1. Google Analytics Remarketing

Our websites use the features of Google Analytics Remarketing combined with the cross-device capabilities of Google AdWords and DoubleClick. This service is provided by Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, USA.

This feature makes it possible to link target audiences for promotional marketing created with Google Analytics Remarketing to the cross-device capabilities of Google AdWords and Google DoubleClick.   1. Google AdWords and Google Conversion Tracking

This website uses Google AdWords. AdWords is an online advertising program from Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, United States (“Google”).

As part of Google AdWords, we use so-called conversion tracking. When you click on an ad served by Google, a conversion tracking cookie is set. Cookies are small text files that your internet browser stores on your computer. These cookies expire after 30 days and are not used for personal identification of the user. Should the user visit certain pages of the website and the cookie has not yet expired, Google and the website can tell that the user clicked on the ad and proceeded to that page.

This website uses social media plug-ins, for example Facebook, Instagram, Youtube, Spotify.

We are not aware for which purpose and to what extent the social media service will collect, further process and use the data; this depends on the functionality of the plug-in and the social media service’s privacy policy.

Our website measures conversions using visitor action pixels from Facebook, Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA (“Facebook”). These allow the behavior of site visitors to be tracked after they click on a Facebook ad to reach the provider’s website. This allows an analysis of the effectiveness of Facebook advertisements for statistical and market research purposes and their future optimization.

The data collected is anonymous to us as operators of this website and we cannot use it to draw any conclusions about our users’ identities. However, the data are stored and processed by Facebook, which may make a connection to your Facebook profile and which may use the data for its own advertising purposes, as stipulated in the Facebook privacy policy.
